How to Report Safety Concerns

A formal written complaint can be an effective way to raise management awareness of safety violations and hazardous conditions. A well-typed document, with specific information on the violation, can act as a catalyst for change while empowering employees. The management response can also alleviate any concerns over the dangers associated with the hazard. Using the workplace suggestion box is another way to reduce the risk associated with poor safety compliance.

Study the guidelines and safety regulations to ensure that a violation or hazard truly exists. You can find the safety guidelines specific to your workplace at either the safety manager's office or at the local union office. Your job site may provide an online library with safety-related documents in PDF format. Your workplace may also post safety rules and regulations using posters and signs. Finally, you may be able to review safety guidelines contained in the welcome packet distributed to new hires.

Seek legal advice. Safety hazards that occur in the workplace may involve issues that require the advice or consultation of a legal professional. Contact a legal professional that specializes in your particular career field. Before seeking advice, write down a summary of the events surrounding the violation to include date, time, violation, and parties involved.

Submit written feedback. This method is less formal. Use your company's suggestion box or formal feedback form distributed by your organization. This type of correspondence allows for anonymity and can be an effective tool to raise awareness regarding safety issues with management.

Use the management's open door policy. If a manager or safety supervisor at your place of work uses an open door policy, then schedule a visit or walk-in. This session will allow you to address safety concerns in a direct one-on-one manner with key personnel. Before scheduling the meeting, organize your thoughts in a written format and secure a copy of the workplace safety regulations.

File a formal complaint with the Occupational Safety and Health Administration (see Resources). Outline the date and time of the violation, the parties involved and a detailed summary of the events that took place. Within the written complaint, highlight the specific violations of the stated safety guidelines. Add steps or procedures that would be helpful in avoiding future occurrences.
